I don’t have enough business yet to need a transaction coordinator.
What exactly does “busy enough” look like? Drowning in transaction tasks? Getting in a car wreck between showings because you’re desperately trying to respond to an urgent lender/title request on a transaction? The inability to take a day off, go on a vacation, attend your children’s sporting events or be present with your family? Having to come out of your own pocket to rectify a costly mistake because you missed something on a transaction? Working every night until after midnight because you were showing and in appointments all day, and now there’s a mountain of emails to tackle before it starts all over tomorrow? When do you say enough is enough? If you wait until you feel like you are drowning, you have waited too long. Treat your business like a business, and bring on the leverage you need so that you’re able to refine the process and communication before you are overwhelmed. There will always be a “getting to know you” stage when beginning this working relationship – starting earlier will make sure we can be a well-oiled machine by the time your production increases. We want to enable you to provide the best and highest level of fiduciary duties to your clients.
But I’m good at paperwork and checklists. I can do it by myself.
That’s great!! Great systems provide 2 things: leverage and luxury. Every hour spent on those “quick” mundane transaction tasks is an hour you’re not spending on lead generation, growing your business, spending time with your family, self-care or taking that much needed vacation. On average it takes 23 minutes to re-focus after a distraction – so those “quick” tasks are costing you a great deal more time than is perceived.
Won’t my client feel as though I have abandoned them?
Never. We are an extension of you. By utilizing appropriate scripts and dialogue throughout the early stages of the real estate process, your client will understand that you have an expert team member stepping in to facilitate the closing process. You will still be there for all the major decisions – we do NOT replace you as their fiduciary. Does a pilot also serve drinks and load your luggage on the plane? No – and clients are less concerned with who is providing the updates and answering questions, than with the fact that there is timely and consistent communication throughout the process. By leveraging the day-to-day transaction tasks, you, as the agent can focus on being client care – improving client relationships and generating more referrals.
I can’t afford to hire a transaction coordinator.
Transaction coordination fees are paid per transaction – it’s a “pay for what you use” model where you don’t have to worry about paying wages/salary when production is slower. So how can you afford NOT to hire a transaction coordinator? How many more contacts would you make having 15 hours per transaction back on your schedule? How many appointments, signed clients, contracts, and new closings would that translate to? If you focused all 15 hours on lead generation… What if you have 5 conversations per hour? That would be 75 conversations. Of those 75 conversations, what if you booked 5 new appointments?
